Understand purchase order statuses
Understand the Order status and Receipt status of a purchase order and what each status means.
NORTHMAST shows two statuses on a purchase order:
- Order status shows where the purchase order is in its lifecycle.
- Receipt status shows the progress of the goods being received.
The two statuses work together to show what is happening with the order.
Purchase order lifecycle
| Order status | Receipt status | What it means |
|---|---|---|
| Draft | Draft | The order has not been placed yet. It can still be fully edited and cannot be received. |
| Ordered | Not received | The order has been placed, but nothing has been received yet. |
| Ordered | Partially received | Some goods have been received and more are still expected. |
| Completed | Completed | Receiving is finished and nothing more is expected. |
| Cancelled | Cancelled | The order was cancelled and nothing more is expected. |
A purchase order you create manually with Create purchase order becomes Ordered immediately.
Draft purchase orders can be created from Reorder recommendations. A Draft can also become Ordered by selecting Mark as ordered.
Completed orders
A purchase order becomes Completed automatically when everything has been received.
If part of an order has been received but the remaining quantity will no longer arrive, you can use Complete order to close the outstanding remainder.
Cancelled orders
Use Cancel order when the purchase order will no longer be fulfilled and no goods have been received.
Cancellation is final. A cancelled purchase order remains in NORTHMAST as part of your purchasing history and can no longer be received.
NORTHMAST does not notify your supplier when you cancel an order.
Return an order to Draft
Use Return to draft when an Ordered purchase order needs to become fully editable again.
An order can only be returned to Draft when no receipt has been recorded.
After returning it to Draft, you can again change the Supplier, Warehouse and Currency.
