Add and manage suppliers

Add suppliers, maintain their details and purchasing defaults, and archive suppliers you no longer use.

Use Suppliers to keep the companies you purchase products from and the details you use on purchase orders.

Add a supplier

  1. Open Purchasing and select Suppliers.
  2. Select Add supplier.
  3. Enter the supplier Name.
  4. Enter a unique Supplier code.
  5. Add the supplier’s contact, address and purchasing details when needed.
  6. Select Save.

Only Name and Supplier code are required.

Supplier code

The Supplier code is a short, unique code used to identify the supplier.

Use 2–20 characters consisting of letters, numbers and dashes. The code must start and end with a letter or number. NORTHMAST converts the code to uppercase.

Choose the code carefully: after the supplier is created, the Supplier code is locked and cannot be changed.

Purchasing defaults

You can store defaults that are useful when working with the supplier, including:

  • Supplier currency
  • Document language
  • Default payment terms
  • Default shipping terms
  • Notes

Supplier currency records the currency the supplier normally invoices in. Changing it does not change existing prices or the currency of existing purchase orders.

If you enable Copy to purchase order by default, the supplier Notes are copied to Note for supplier when creating a new purchase order.

These are defaults for new work. They do not silently overwrite information already stored on a purchase order.

Edit a supplier

Open the supplier from the Suppliers list and select Edit.

Update the information you need and select Save.

The Supplier code cannot be changed after creation.

Archive or reactivate a supplier

Suppliers are archived instead of deleted.

To archive a supplier:

  1. Open Edit supplier.
  2. Change Status from Active to Archived.
  3. Select Save.

Archiving does not remove the supplier or its existing product links. An archived supplier can no longer be linked to new products.

To use the supplier again, change Status back to Active and save the supplier.

Can’t save a supplier?

Check that:

  • Name and Supplier code are filled in;
  • the Supplier code is unique;
  • the Supplier code uses the supported format;
  • if you enter an address, the required address details are complete.

If a Supplier code is already used by another supplier, choose a different code.
