Return goods to a supplier
Record goods that are sent back to a supplier and choose whether replacement goods are expected.
Use Return when goods were received correctly but are later physically sent back to the supplier.
If the original receipt itself was recorded incorrectly, use Reverse receipt instead.
To return goods to a supplier
- Open Purchasing and select Purchase orders.
- Open the purchase order and select the History tab.
- Select the receipt or receipts containing the goods you want to return.
- Select Return.
- Review the Return date.
- Enter the Return quantity for each product you are sending back.
- Choose the Location the goods are leaving from.
- Choose Yes or No for Replacement expected on each line.
- Select Post return.
You can remove lines you are not returning with Remove line.
Returnable shows the maximum quantity that can still be returned from that receipt line. Quantities that have already been returned or reversed are not available to return again.
Shopify inventory
When you post the return, NORTHMAST automatically decreases the Shopify inventory at the Location selected for each returned line.
You do not need to update the stock separately in Shopify. Only the quantity you return is deducted from the existing inventory.
Replacement expected
Choose Replacement expected separately for each returned line.
| Choice | What happens |
|---|---|
| Yes | The returned quantity becomes outstanding again under Still open and can be received when the replacement arrives. If the purchase order was Completed, it reopens as Ordered. |
| No | The returned quantity is not reopened for receiving. If the purchase order was already Completed, it stays Completed. |
When Yes is selected, Receipt status becomes Partially received or Not received, depending on how much of the order is still received after the return.
View supplier returns
The original Receipt remains under the purchase order’s History tab and a separate Return is added.
To view supplier returns across all purchase orders, go to Purchasing → Returns.
Open a return to see the returned products, quantities, locations and whether a replacement was expected.
Return or reverse a receipt?
Use Return when the goods were received correctly and are physically being sent back to the supplier.
Use Reverse receipt when the receipt itself was recorded incorrectly.
A return may contain partial quantities and can include goods from more than one receipt. A reversal corrects the original receipt history and uses a different workflow.
Can’t return goods?
Return becomes available after you select one or more eligible receipts under History.
A receipt may not be available when there is no quantity left to return, for example because the goods have already been returned or reversed.
When creating the return, make sure every line has:
- a valid Return quantity;
- a Location when required;
- Yes or No selected for Replacement expected.
