Add and manage warehouses

Add the delivery addresses you use for purchase orders, choose a default warehouse and archive warehouses you no longer use.

Use Warehouses to manage the delivery addresses you use on purchase orders.

The Warehouse you select determines the address shown on the purchase order you send to your supplier.

A NORTHMAST Warehouse is different from a Shopify Location. The Warehouse tells the supplier where to deliver the goods; the Location determines where inventory is recorded when you receive them.

Add a warehouse

  1. Open Settings, select Purchasing, and go to Warehouses.
  2. Select Add warehouse.
  3. Enter the Warehouse name.
  4. Enter the delivery address.
  5. Choose the Country.
  6. Select Add warehouse.

The first warehouse you add becomes the default automatically.

Warehouse details

A warehouse contains:

  • Warehouse name
  • Address line 1
  • Address line 2 (optional)
  • Postal / ZIP code
  • City
  • State / province / region (optional)
  • Country

Choose the default warehouse

The default warehouse is used when preparing new purchase orders.

To change it, select the checkbox in the Default column for another warehouse.

The current default cannot simply be unticked. Choose another warehouse to move the default instead.

An archived warehouse cannot be the default.

Edit a warehouse

Select Edit next to the warehouse you want to change.

Update the warehouse details and save your changes.

Changes to a warehouse do not change the delivery details already stored on existing purchase orders.

Archive a warehouse

Use Archive when you no longer want to use a warehouse for new purchase orders.

NORTHMAST asks you to confirm before archiving it.

Archived warehouses:

  • are removed from the Warehouses list;
  • cannot be selected for new purchase orders;
  • do not change existing purchase orders.

If the warehouse is currently the default and another warehouse is available, choose another default before archiving it.

Warehouses cannot be deleted. Archived warehouses also cannot currently be restored from the NORTHMAST interface.

How warehouses are used on purchase orders

Every purchase order needs a Warehouse.

When creating an order, you can choose from the available warehouses.

You can change the Warehouse while the purchase order is editable. After the order is placed, it is locked. If the order can still be returned to Draft, you can change the warehouse there.

Once goods have been received on the order, the destination can no longer be changed.

The selected Warehouse is shown as Ship to on the purchase order document.

Can’t create or update a purchase order?

Check that:

  • at least one warehouse exists;
  • a default warehouse is available when required;
  • the warehouse you want to use has not been archived;
  • all required warehouse address fields are completed.

If no warehouse exists, NORTHMAST asks you to add one before you can create a purchase order.
